FAQ: Frequently Asked Questions

No, you do not need a referral to have an initial appointment with our Certified Orthotist, although many of our patients are referred to us. A prescription may be required, depending upon the orthotic treatment/device to be dispensed. It is possible to obtain a prescription following your initial clinical assessment appointment, prior to proceeding with purchase of any orthotic treatment/device. A prescription is usually required in order to make any health benefits insurance claim, or to access funding agency assistance.
All of our patients are seen by appointment at all five of our clinic locations.

Please call us at our Nanaimo Main Clinic to make an appointment at any of our five clinic locations. Our Satellite Clinics in Duncan, Courtenay, Port Alberni and Campbell River run on a bi-weekly basis and they are in demand, so we encourage booking an appointment in advance.
If you need to be seen on short notice or an urgent basis, please call our Office Assistant at (250) 753-0315 and every effort will be made to accommodate you if possible.

Yes, all five clinics where we hold appointments are wheelchair/walker accessible. Our Nanaimo Main Clinic at #26 – 1708 Bowen Rd. (in Pinetree Square mall) is wheelchair/walker accessible, however if parking on the Bowen Rd. side of the mall, you will encounter stairs. For level access from parking to the door of unit #26, you will need to enter Pinetree Square mall from the rear Townsite Rd. mall entrance.
Included in the fee for each orthotic treatment/device that we provide is:

  • A clinical assessment appointment, to evaluate and discuss your individual orthotic treatment needs
  • Custom plaster casting or custom measurement (as required)
  • Custom in-house fabrication, or ordering of a custom or off-the-shelf orthopaedic device, per your prescription, to best meet your orthotic treatment needs
  • A fitting appointment, including any custom adjustments needed for your optimum function, fit and comfort
  • A follow-up appointment period, including any fine-tuning adjustments you may need as you adjust to your new orthopaedic device
The cost of the initial assessment appointment is included in our orthotic treatment/device fees. However, if you require a stand-alone clinical assessment appointment, there will be a reasonable assessment fee charged at the time of your appointment. If within 30 days you decide to proceed with the purchase of an orthotic treatment/device, we will apply your previously paid assessment fee towards the orthotic treatment/device fee.

Unfortunately, the Medical Services Plan of British Columbia does not currently cover the cost of orthotic treatment, orthopaedic devices or custom foot orthotics.
At this time, we are not able to direct-bill to health insurance providers. We require payment prior to initiating orthotic treatment, custom fabrication or custom ordering of an orthopaedic device.
Upon payment, we will provide you with an official receipt for health insurance claim or tax return use. At your final fitting appointment, we will dispense your orthotic device to you and we can then provide other documents, if you have requested them for health insurance claim use. Please advise our Office Assistant about your health insurance claim document requirements before initiating your orthotic treatment/device purchase.
We do not have access to any information concerning your coverage with your extended health insurer. You will need to contact your health insurance provider directly, before initiating purchase of your orthotic treatment/device, to confirm your current coverage and limits – or to seek prior approval if your insurer requires it. Following your initial assessment appointment, we are able to provide an estimate letter for your submission to your health insurance provider, if they require this for prior approval.
At OrthotiCare Clinics, we provide administrative assistance with several types of funding agency applications as an included, complimentary service. When you book your appointment, please advise our Office Assistant if you will be accessing third party funding, so that the appropriate forms are available for you to complete and sign at your initial appointment. We request that patients bring all information relevant to their funding application, including their BC health care card and current prescription, to their initial assessment appointment.

We are a Qualified Orthotics Provider

OrthotiCare Clinics is a qualified provider for third party funding agencies including: Ministry of Housing and Social Development, Ministry of Child and Family Development, PharmaCare, At Home Program, Insurance Corporation of British Columbia, WorkSafe BC, Department of National Defence, Department of Veterans Affairs, RCMP, First Nations & Inuit Health Branch (FNIHB) and Intertribal Health Authority (ITHA).

We request that patients bring all information relevant to their funding application, including their BC health care card and current prescription, to their initial assessment appointment.

In the case of private and group health insurance plans, OrthotiCare Clinics provides an official payment receipt that can be submitted to a patient’s insurer, if eligible to make a claim. OrthotiCare Clinics cannot direct bill to extended health insurance providers. We can provide our patients with supporting information, if required by their extended health insurance provider. It is recommended that patients contact their extended health provider prior to initiating orthotic treatment, to confirm their eligibility and claim requirements.
